Cheer Event Hub (cheereventhub.com) is an event-management hub operated by All Day Cheerleading, Inc. ("we", "us"). Event producers ("producers") subscribe to get their own hub, then invite their staff, judges and office team to use it. This policy explains what information we handle, why, and the choices you have.
Who is responsible for your information
- If you are a producer (the company that subscribes), we are responsible for your account and billing information.
- If you are a staff member, judge or other person invited by a producer, that producer decides what information to collect about you and how to use it. We store and process it for them as their service provider, following their instructions and this policy. Questions about how a producer uses your information should go to them first; we'll help them respond.
- Each producer's hub is kept separate. One producer can't see another producer's people, events or records.
What we collect
- Producer account details: company name, logo, contact name, email and phone, and the plan you choose.
- Billing: payments are handled by Stripe. We receive your plan, payment status and the last four digits of your card. We never see or store your full card number.
- People in a hub: name, email, mobile number, mailing address, profile photo, role, pay rates and notification preferences.
- Event work: assignments, report times, travel and hotel details (including birthday when needed for airline bookings), timesheets, pay stubs and reimbursements.
- Location: only at the moment someone taps Clock in or Clock out, to confirm they're at the venue. The hub doesn't track location at any other time.
- Tax information: W-9 details a person submits so the producer can file 1099s. Social Security and Employer ID numbers are encrypted, and only the last four digits are shown unless an authorized producer admin chooses to reveal them.
- Bank details for check printing: if a producer enters them, routing and account numbers are encrypted.
- Messages, tasks and files people post in the hub, and support requests sent to us.
- Technical information: sign-in sessions, push-notification device tokens, and basic server logs (such as IP address, browser type and the pages requested) used to keep the service secure and working.
How we use it
- To run each producer's hub: staffing, schedules, travel, chat, notifications, payroll records and year-end tax reporting.
- To bill producers, send receipts and account notices, and answer support requests.
- To keep the service secure, prevent abuse, fix problems and improve the hub.
- To meet legal obligations.
We do not sell or rent personal information, and we don't use it for advertising. We don't use the information in your hub to market to the people in it.
Who we share it with
We share information only with the service providers that help us run Cheer Event Hub, and only so they can do that work for us:
- Vercel: hosts the website.
- Supabase: database and file storage.
- Stripe: subscription payments.
- Resend: sends emails such as invites, password resets and notifications.
- Apple, Google and Mozilla push services: deliver phone and browser notifications to people who turn them on.
- OpenStreetMap services (Nominatim and OSRM): when someone fills out a travel form, their address and the venue location are used to estimate driving distance.
- Twilio: text messages, only for hubs where texting is turned on and only to people who opted in.
We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business (in which case this policy would continue to apply).
Support access
To solve a problem, our support team may sign in to a producer's hub as one of its users. Every support visit is logged with who, when and why, and a banner shows the whole time. Support access never shows full Social Security or Employer ID numbers or bank account numbers, and support can't print checks.
How we protect it
Information is encrypted in transit (HTTPS). Tax ID and bank numbers are also encrypted at rest. Access inside each hub is limited by role (for example, only people the producer allows can see pay and tax details), and our own access is limited to what's needed to run and support the service. No system is perfectly secure, but we work to protect your information and will notify affected producers of a breach as the law requires.
How long we keep it
- We keep a producer's hub data while their subscription is active.
- After a producer cancels, they can ask us to export or delete their data within 90 days. After that, we delete it, except for copies held for a limited time in backups and any records we must keep by law (such as our own billing records).
- Producers are responsible for keeping their own tax and payroll records as long as the law requires them to. Export them before deleting a hub.
Your choices and rights
- Update your phone, notification settings and password on your Profile, and turn phone notifications on or off at any time.
- Reply STOP to any text to stop texts.
- To see, correct or delete your information, contact the producer who invited you. Producers and their admins can edit or remove people in their hub. If you can't reach the producer, contact us and we'll help.
- Depending on where you live, you may have additional rights to access, correct, delete or get a copy of your information. We'll honor those requests as the law requires, working with the producer when the information is in their hub.
Children
Cheer Event Hub is for event producers and the adults who work their events. It isn't intended for children under 13, and we don't knowingly collect their information. Producers shouldn't add athletes' personal information to the hub.
Changes
If we make important changes to this policy, we'll update the date above and let producers know by email or in the hub.
